Editing prints

Summary

The designer of a print, and admins, can change its details, manage its files, ask AI to fill empty fields and delete it. The print window also warns about spelling mistakes, names that don't match the artwork and duplicate names.

How to

Edit

  1. Open the print and click Edit.
  2. Change the fields you need: name, description, designer (admins only), season, type, style, AOP or graphic, category, colours, tags, and the sale details (Sold, customer, sold season).
  3. Click Save changes.
    • Expected result: the details update and the AI badge goes away.

If someone else saved the same print while you were editing, you see Someone changed this print while you were editing. Close the print and open it again to see their changes, then make yours. This way nobody's changes are lost.

Ticking Sold and choosing the customer also decides which customer can see the print when they sign in.

Files

Each file in Files has buttons on its right:

  • Download saves that file.
  • Set as cover (star) makes an image the picture shown in the gallery.
  • Make preview appears on PDF, Illustrator and Photoshop files uploaded before previews existed. It makes a small preview picture of the file. Files over 800 MB are too big for this.
  • Remove file takes the file off the print. The file itself is kept in storage, so IT can bring it back.

Click a file with a picture to show it in the large viewer.

Fill with AI

  1. Open the print and click Fill with AI (under More on a phone).
    • Expected result: a message lists the fields AI filled. Only empty fields are filled.
  2. If AI found a better name, it shows Suggested name. Click Use this name to rename the print, or ignore it.

Checks on the print

The print window shows these warnings when they apply:

  • Check spelling: AI found a spelling mistake in text on the artwork, with the correct spelling.
  • The name doesn't include the design code in the artwork header: the header says one code and the print name says another. Fix the name, or check that the right file is on the print.
  • Another print by this designer has the same name: click open it to compare. Rename one of them if they are different prints.

Spell check and Header code in the details show what AI read from the artwork.

Delete

  1. Open the print and click Delete (under More on a phone).
  2. Click Delete print to confirm.
    • Expected result: the print leaves the gallery. It is only made inactive in CRM, and its files are kept, so IT can restore it.

Exceptions and Escalation

  • No Edit button: only the print's designer and admins can edit. Ask the designer, or an admin, to make the change.
  • "Your CRM role can't …": your CRM security role is missing a permission. Contact IT.
  • Fill with AI fails: try again in a minute. If it keeps failing, contact IT.
