Risk Assessment

Summary

Risk Assessment helps staff run a Risk Assessment Meeting for one or more CRM products. AI picks the checks that apply to each product from the check library (built from the Garment Risk Assessment Form), decides which need an action, drafts the action notes and adds any risks the library misses. Every risk on the meeting form is an action, and its note is the follow-up. The team reviews everything on one screen, assigns the follow-ups, saves the results to CRM and shares a one-page report per product. Spring Hub also drafts suggested meetings and reminds merchandisers to book the meeting after the order is confirmed.

How to

Open the app

  1. Sign in to Spring Hub with your Microsoft work account.
  2. Click Risk Assessment.
  3. To see the app screens in Turkish, use the EN / TR switch in the Risk Assessment header. The PDF, Excel and email summary always stay in English.

Start a new meeting

  1. On the home screen, click New meeting.
  2. Under Products, search CRM and click a product to add it. Added products appear under Added for review and disappear from the search results. Click × on a product to remove it. Duration is 30 minutes per product.
  3. Under Attendees, type an employee name and pick them from the list. Add guest emails with Add guest.
  4. Go to Time with Continue or the step bar at the top. Three suggested slots where the employee attendees are free load straight away. Pick one.
  5. To use a time that is not suggested, go to Or pick any time:, choose a date (DD/MM/YYYY) and a Start time in 15-minute steps, then click Use this time.
    • Expected result: A Your time slot is added and selected. It lasts the meeting length and is in Istanbul time. It shows Calendars not checked, because attendee calendars are not checked for it.
  6. Choose Continue to products to open the meeting screen without sending the Outlook invite yet, or Send calendar invite to email attendees now.

You can reopen a Draft meeting from the list to change products, attendees or time. On Time, the saved time stays selected and fresh suggested slots load next to it.

Suggested meetings

The SOP requires the Risk Assessment meeting within 1 week of the order confirmation (OC). When a product's OC date has passed and the product is not in any Risk Assessment meeting, Spring Hub drafts a suggested meeting for it.

  • Products are grouped into one suggested meeting per merchandiser and customer, with up to 5 products each. More products start another suggested meeting.
  • Suggested meetings appear under Suggested meetings at the top of the meetings list. The product's merchandiser is shown as the organizer.

To use one:

  1. Open the meeting under Suggested meetings.
  2. Check the products and remove any that should not be reviewed in this meeting.
  3. Add attendees and schedule the meeting like any draft (see Start a new meeting).
    • Expected result: Once the meeting is scheduled, it leaves Suggested meetings and appears in the normal list.

A product you remove from a suggested meeting is not added back to a suggestion later.

Reminders to book the meeting

The product's merchandiser gets an in-app and push notification when no meeting is booked after OC:

  • Book the Risk Assessment meeting — 5 days after OC.
  • Risk Assessment meeting overdue — from day 7 after OC.

Click the notification to open the product's suggested meeting. These notifications appear under the Risk Assessment tab in the notification centre. Reminders stop once a meeting with that product is scheduled, which happens when its Outlook invite is sent. A draft meeting alone does not stop them.

Delete a draft meeting

  1. On the home screen, find a meeting with status Draft.
  2. Click the red trash icon on that row.
  3. Confirm Delete in the dialog. Scheduled, in-progress and completed meetings cannot be removed.

Run the meeting

When the meeting screen opens, AI reviews every product in the background. Each product card at the top shows AI reviewing… until it finishes, then the number of actions.

AI merges risks about the same object into one item. For example, all button checks become one risk, and its note only mentions what needs action.

  1. Click a product card at the top to switch products.
  2. On the left, check the product photo and details. Quantity, Fabric / Yarn Spec and Fabric Supplier are filled from CRM; click a value to correct it.
  3. Open Action points to set Wearer Trial, Wash Test, Base Test, PP Meeting, Pilot Run, Inline Insp. and Drop / Hang Test to Yes or No. AI suggests these; the row shows how many are Yes.
  4. The risks are grouped in rows: Yarn / Fabric, Trims / Accessories, Garment Construction, Labels & Packaging, Garment Process (Wash, Print etc.), Production Site and Measurements. All groups are open when the screen loads. Click a group's header to close or open it.
    • Every risk shown under the Risk column is an action. Its note is the follow-up: what the factory or team must do.
    • Each risk shows its number, R01, R02 and so on. This is the same number it gets in the report: numbering runs per product, across the groups in order.
    • Risk text and notes are shown in full.
    • A group with more than 3 risks shows the first 3. Click …N more to see the rest, and Show less to collapse it again.
  5. The icon next to each risk shows where it came from:
    • ✨ — a risk found by AI that is not in the check library.
    • Grey dot — a check from the check library, built from the Garment Risk Assessment Form Excel. These do not come from old meetings.
    • Pen icon — a risk added in the meeting.
  6. For each risk:
    • Edit the note.
    • Click the assign icon next to the note. In the popover, pick Assign to (a meeting attendee) and Due date (DD/MM/YYYY). Once set, the button shows the assignee's first name and the due date.
    • To remove the risk from this product, hover it and click the bin icon.
  7. Checks the AI judged fine are listed under N checks OK by AI at the bottom of each group. Click it to see them with the AI's reason. Click + Action on one to turn it into a risk and write its note.
  8. To add your own risk, click + (Add a risk) in the group header. The group opens and shows an input. Type the risk and press Enter. Press Escape or click × to close the input.
  9. Click Mark reviewed when the team has finished a product. The card shows a green tick.
  10. Changes save automatically. The top bar shows Saving…, Saved or Not saved.

If a product's AI review failed, click Try again. Re-run AI reviews a product again and replaces the AI's risks, including your notes, assignees and due dates on them; risks you added yourself are kept.

Complete the meeting

  1. Click Complete meeting. If AI is still reviewing a product, wait for it to finish.
  2. Follow-up tasks opens. It lists every risk, prefilled with the assignee and due date you picked in the meeting. Checks listed as OK by AI are not included.
  3. Adjust the Assignee or Due date if needed, then click Complete meeting. Any change you make here is saved back to the risk.
  4. The actions are saved to each product in CRM, together with the action points that have a CRM field. Tasks are saved on the meeting and added to Microsoft To Do.

Share the summary

After completion, the meeting page shows one report per product. Each report has a header:

  • Left: the product photo.
  • Right: the meeting title with Completed, the date and time · organizer, the attendees, a separator line, then the style no and description.

Below the header are the risks, numbered R01, R02 and so on. They are not split by group. Each risk shows the risk, the Action: note, the assignee and the due date. Additional tests run along the bottom, marked Y or N: Wearer Trial Req., Wash Test Req., Base Test Available, PP Meeting Req., Pilot Run Req., Inline Insp. Req. and Drop Test (Hang Test) Req.

Email recipients are listed under the reports.

To share it:

  1. Open the meeting from the list.
  2. Export PDF or Excel. The PDF is A4 portrait, one page per product with the same layout as the report. A very long risk list may continue on a second page. The Excel follows the Garment Risk Assessment Form layout.
  3. Or click Email summary to send from your Outlook mailbox. Uncheck any attendee under Email recipients who should not receive it.
    • Expected result: The selected attendees get one email. The body shows each product's header and risks, and one PDF per product is attached.

Exceptions and Escalation

  • Wash Test, Base Test and PP Meeting are saved in Spring Hub and shown in the PDF and Excel, but are not written to CRM.
  • Suggested meetings and reminders need a merchandiser on the product in CRM. If the product has no merchandiser, Spring Hub does not suggest a meeting or send a reminder. Book the meeting yourself with New meeting.
  • Suggested meetings and reminders only cover orders confirmed from 28/09/2026 onwards. Book meetings for older orders with New meeting.
  • Reminders keep coming until the product is in a meeting that is scheduled (Outlook invite sent), in progress or completed. A meeting still in Draft, including a suggested meeting you have not scheduled, does not stop them.
  • A Your time slot is not checked against attendee calendars. Confirm attendees are free before you send the invite.
  • Merged AI risks (one item per object) only appear in new AI reviews and after Re-run AI. Products reviewed before this change keep their separate risks until you re-run the AI.
  • If AI review keeps failing for a product, add the risks by hand with + (Add a risk), and tell IT.
  • If suggested slots cannot be loaded, ask IT to confirm Microsoft Graph permissions for Spring Hub, or use Or pick any time: and continue in the app.
  • If CRM save fails, click Complete meeting again after the connection is restored; do not rely on email-only records.
  • Escalate missing or wrong checks in the check library to Technical Management.
