Sample Presentation & Sign-Off
Scope
Purpose: Sample Presentation & Sign-Off takes the development samples from the showroom to a signed customer range. The designer and the salesperson present the samples, answer the range build inquiries, and return the Order Confirmation (OC). The process ends when the customer signs off the range and the Purchase Order (PO) follows.
Owner: DM.
Applies to: Designers, the salesperson, the Development Merchandiser, the TRO team, and the customer buyer.
Process
-
Designer — Prepare the showroom. Hang the samples against the trend boards at least one day before the meeting.
- Build the sample mix from shopping, factory, and inspirational samples, and keep at least 80 percent SpringNE originals.
- For a meeting at the customer office, book time to hang and present the samples before the buyer arrives.
-
Salesperson — Attend the customer meeting. A SpringNE salesperson joins every presentation and gives the commercial and product view alongside the designer.
- Quote the price during the meeting wherever the costing allows, so the buyer reacts to the price in the room.
-
Designer — Share the meeting notes. The designer and the salesperson write up the meeting and send the notes to the TRO team on the same day.
-
Designer — Reserve the selected samples. Hold every sample the customer selects for that customer alone until sign-off, for a maximum of two weeks.
- Do not show a reserved sample to another customer inside the reservation period.
- When the two weeks pass without sign-off, release the sample back into the range.
-
Development Merchandiser — Answer the range build inquiries. The buyer builds the range from the samples and asks about styles, amendments, potential quantities, shipment dates, and pricing.
- Answer every inquiry on the same day it arrives.
- Close every open item before the sign-off meeting. An unresolved amendment blocks the sign-off.
-
Customer buyer — Sign off the range. The buyer reviews the proposed range with the customer manager or director, then sends the feedback and the confirmed style list.
-
MR — Return the order confirmation within 24 hours. Issue the OC with the final price, the agreed delivery date, and the designated production site.
