SOP-OM-02 · Capacity Booking With Vendors

Scope

Scope: Covers the end-to-end capacity planning and booking process, from annual forecasting and vendor capacity planning through capacity confirmation, utilisation monitoring, and weekly capacity updates.

Purpose: Ensures production capacity is planned, allocated, and confirmed with vendors in line with forecasted demand, confirmed orders, and required shipment timelines.

Owner: Sourcing Director owns and coordinates the vendor capacity booking process, including forecasting, capacity confirmation, and ongoing capacity monitoring.

Applies to: Applies to the Sourcing Director, Sourcing team, and relevant vendors involved in Pre-Production and Order Management capacity planning and booking activities.

Process

1. Sourcing Director — Convert the budget figures into product categories and prepare the annual forecast by customer and category and distributing it to the vendors

   • Orders must be placed at least 120 days before the shipment date so that the agreed monthly capacity can be used.

2. Sourcing Director — Prepare the business performance and next-year capacity/forecast inputs for the annual meeting held with vendor management at the end of December

3. Sourcing Director — Confirm the capacity that will not be used to Sourcing within 3 working days

4. Sourcing Director — Monitor the order placement lead times bearing in mind that capacity is held in reserve until 117 days before the shipment date

5. Sourcing Director — Share Current order and forecast information with Sourcing for the Monday capacity chart update
