SOP-OM-18 · Final Inspection
Scope
Scope: Covers the end-to-end Final Inspection process, including inspection planning, production and packing verification, quantity, quality and measurement checks, reporting, and shipment clearance.
Purpose: Ensures finished goods meet approved product standards, customer requirements, AQL limits, and shipment conditions before goods are released for shipment.
Owner: QA owns and coordinates the Final Inspection process, including inspection execution, reporting, result classification, corrective actions, and re-inspection follow-up.
Applies to: Applies to QA, SCQC, GT, FT, MR, PMR, and relevant factory and vendor personnel involved in bulk production, quality control, and shipment approval activities.
Process
-
QA — Follow up the HUR and manage the information flow for inline and final organisation with QA
- Keep inline and final follow-up aligned so the right checks are planned and completed.
-
QA — Schedule the week according to factory confirmations (See GL-OM-06 Weekly Production Report (WPR) & Meetings — R9)
- Revise requests can be accepted if informed 2 days in advance.
- Once agreed with the factory, conduct the inspection within 24 hours after the products are declared ready; otherwise inform the QA Manager.
-
QA — Choose the inspection location correctly
- Final inspections can be conducted in Istanbul where needed, but the site must be approved for the customer.
- Inlines must be done at the factory.
-
QA — If production is identified outside the approved production site, immediately inform the TM and Compliance teams
-
QA — On arrival, do a factory tour (See GL-OM-08 Factory Visit Procedure — R1)
- Review overall compliance and safety regulations.
- Take photos of the factory showing existing conditions.
-
QA — Start the inspection by 17:00 at the latest
- The QA Manager can exceptionally agree a late inspection start.
-
QA — Do not carry final inspection out before all cartons are fully closed, nor on the shipment/loading day
- QA Manager approval is required for exceptions.
-
QA — Do not conduct Final Inspection on products that have not been inspected and passed by SCQC
-
QA — Review the PPM / Product File (See GL-OM-05 Product File Management — R3)
- The checklist must be fully filled.
- For customers who require a physical product file, that file must also be complete.
-
QA — Review the packing list
- Compare cutting quantities with order quantities.
- If there are discrepancies, request a solution and inform the merchandising team.
-
QA — Check that the size breakdown matches the order size ratio
-
QA — Select at least 10% of the total cartons yourself
- For assorted hanging products, select at least 10% of the total assortments.
-
QA — Select the samples yourself according to AQL and the packing-list quantity from these selected cartons or assortments
-
QA — Review the history of the style to be inspected
- Include product file review (CRM and/or physical), sampling comments, and previous inspection reports.
- Follow up any pending issue noted in the reports.
-
QA — Carry out final inspection ideally with the Gold Seal sample
- If Gold is approved but has not reached the factory, use another approved sample such as the Red Seal.
-
QA — Compare production samples with Gold Seal
-
QA — Check that folding is correct and even across all sizes for folded garments
- Take a photo for each size and add it to the report.
-
QA — Check all packing materials against the PO sheet
- Include size label, care label, carton hangtag, price ticket, barcodes, polybag stickers, box end labels, and similar items.
- Take a photo for each size and add it to the report.
-
QA — Ensure barcodes are scanned by scanning 10 barcodes per size
- Add 1 photo per size to the report.
-
QA — Put the product on a mannequin and check the fit against Gold Seal
- If products do not fit as Gold Seal, fail the inspection and contact the relevant GT.
- Take the photo and add it to the report.
-
QA — Hang all products on a hanger and check the length view
- There must be no laddering effect in the length view on the hanger.
- If no hanger is available in the factory, put garments one above another size by size and fail if you see an abnormality.
- Take the photo and add it to the report.
-
QA — Check the selected products one by one, systematically in a clockwise direction
- Also check insides by turning out 5 pcs/size.
-
QA — Check all functional components on each garment you inspect
- Zippers, fasteners, studs, buttons, and similar items must work.
- Any non-functioning component is a critical fault.
- For kids and baby products, snap fasteners must attach to the same fabric ply according to safety rules; treat this as a critical fault. (See GL-OM-12 Metal Button, Snap & Eyelet Attaching — R14)
-
QA — Put a sticker on the faults found, take photos, and segregate them from the inspected OK products
- Add further explanations if needed while uploading to the CRM.
-
QA — Check safety-critical points on children's products
- Minimum neck stretch, cord/drawstring length, snap and rivet pull tests, cleanliness of the interlining under embroidery, and long/uncut threads. (See GL-OM-12 Metal Button, Snap & Eyelet Attaching — R8)
-
QA — Check the minimum stretch areas
- Neck, waist, hem, and sleeve opening must meet the minimum stretch measurements to keep the garment wearable. (See GL-OM-02 Sampling Rules — R4)
-
QA — Compare the weight against the approved sample for knitwear products
-
QA — For bottom garments using clip hangers, ensure that all products are clipped at the same point
-
QA — Measure at least 3 products per size
- If a measurement is out of tolerance, increase the sample for that size to 5 pieces.
-
QA — Where significant measurement differences are notified, ensure the vendor 100% re-measures the products
-
QA — Apply production tolerance on top of specification tolerance
- Children ±0.5 cm; adults ±1.0 cm.
- Mark out-of-tolerance measurements on the measurement chart.
-
QA — Do not let the factory carry out re-labelling without approval of the Commercial and Technical Directors
-
QA — Review the pull test report for products with buttons or metal trims, the fabric test pass report, and the SpringNE in-house wash test reports (See GL-OM-04 In-House Tests — R1) (See GL-OM-12 Metal Button, Snap & Eyelet Attaching — R9)
- Add the photos to the report.
-
QA — Review and add the metal detection report
- Products that are inspected must have passed through metal detection and be recorded. (See GL-OM-11 Metal Detector — R11)
-
QA — Follow photo rules when taking photographs
- There must be no other material next to, under, or on the product or report.
- Position the product vertically and photograph it sharply from a distance of 20–60 cm.
-
QA — Complete the report and send it via CRM before leaving the factory
- This notifies all relevant departments and the factory.
-
QA — Record the inspection result using one of the three outcomes
- PASS: Quantity, Quality, Measurement — all meet the requirements and/or are within the acceptance limit.
- FAIL: Quantity, Quality, Measurement — at least one does not meet the requirements and/or is beyond the AQL acceptance limit.
- COND.PASS: Quantity, Quality, Measurement — at least one does not meet the requirements and/or is beyond the AQL acceptance limit, but is commercially approved under the factory's responsibility.
-
QA — If the inspection result is FAIL, show the defected samples to the factory representatives before leaving
- Agree the next steps with them (100% re-check, segregation, repair method, etc.).
- Put the action plan in the report before leaving the factory.
-
QA Manager — Review all reports to ensure all QC teams work to the same standards
- May release, request a sample for further review, or leave the decision to the commercial team if the issue is commercial (for example colour or handfeel).
-
QA — Send the defected samples to the QA Manager for review if requested
-
QA — Before the 2nd final inspection, have the factory's internal QA check carried out and the report sent to MR and QA
- The 2nd check may only be carried out on this condition.
-
QA — Apply re-inspection penalties (FIN01)
- A penalty of 50 GBP is applied for the 2nd final inspection and 100 GBP for the 3rd and subsequent ones.
- Alternatively, a third-party inspection is organised. (See GL-OM-07 3rd Party & DC Inspections — R2)
