SOP-OM-09 · Risk Assessment (RA) Meeting

Scope

Scope: Covers the identification, assessment, documentation, and mitigation of material, fit, construction, compliance, and production risks for confirmed styles before bulk production.

Purpose: Ensures key risks are identified, agreed, and documented with the relevant stakeholders before the style progresses to bulk production.

Owner: PMR owns and coordinates the RA Meeting, including scheduling, stakeholder alignment, report sharing, and follow-up of agreed actions.

Applies to: Applies to DMR, PMR, AM, GT, FT, TM, QA, Compliance, and relevant Factory Teams involved in the Pre-Production process for confirmed styles.

Process

  1. Schedule the RA meeting. PMR books the session within one week of OC and invites every required role.

    • Hold the meeting before the second fit sample goes to the customer.
    • If the one-week window cannot be met, tell TM before the window closes and agree a new date.
  2. Run the meeting with the identical sample. GT leads the technical review of material, fit, construction, and process risks.

    • Check that the designated attendees are present before you start. Attendees bring the documents for the style.
    • QA attendance is mandatory and may be online from the factory. QA attendance is not required for Repeat or Basic styles.
    • Factory representatives, the production manager, and the quality manager attend with the identical sample.
    • If a required attendee or the identical sample is missing, stop the meeting and escalate to TM. Do not review the style from photographs.
  3. Record the results in CRM. GT, working with Merchandising, enters the notes and decisions in the CRM RA form straight after the meeting.

    • Save the CRM form before the report is shared.
    • Never leave the record in email alone. The CRM entry is GT's responsibility.
    • File the same notes in the customer product file. (See GL-OM-05 Product File Management)
  4. Share the RA report. PMR downloads the completed report and emails it to the customer and to internal stakeholders. (See GL-OM-04 In-House Tests — R10)

    • Spring Hub Risk Assessment produces one report per model: a single page with the photo, numbered risks and additional tests.
    • Ask the customer to approve every deviation or risk the meeting identified.
    • If a risk changes the agreed product, email the customer before the style moves on.
  5. Confirm the planned factory. GT and Compliance verify that the planned production site suits the style.

    • If the site is suitable, record the confirmation and release the style to pre-production.
    • If the site cannot be confirmed, stop the process and escalate to TM, who decides which site is used.

Workflow

Schedule the RA meeting
Run the meeting with the identical sample
