GL-OM-02 · Sampling Rules

Scope

Scope: Covers the sampling control method from sample receipt through inspection, customer submission, and rejection handling, together with the knitwear, MMS, workbook creation, and grading requirements.

Purpose: Ensures every technical sample is checked against the customer standard, recorded consistently, and approved or rejected through a controlled route before production continues.

Owner: GT owns and coordinates the sampling rules and the technical sample inspections.

Applies to: Applies to GT, FT, PMR, QA, and relevant vendors/factories involved in sample preparation, inspection, and approval.

Requirements

R1 — Control Method

  • When the samples arrive, carry out the necessary checks in line with the customer standard before passing them to the garment technologist:
    • Accuracy of the quantity received
    • Fabric, handfeel and styling check
    • Sample card check
    • Labels
    • Accessories and packaging materials
  • Enter the sampling information into CRM.
  • Hand over the samples to the Garment Technician.
  • Inspect all technical samples (Red Seal, Gold Seal, and similar) against the criteria below.
  • Carry out the controls using the pattern. Block verification, by the customer or by SpringNE, is mandatory. Any changes must also be checked against the pattern.
  • Check the sample weight.
  • Fit and evaluate on both a live model and a mannequin.
  • Check the stitching details.
  • Check the measurements.
  • Read the latest comments carefully.
  • Check the overall quality.
  • Check the fabric.
  • Check the accessories.
  • Check the packaging materials.
  • Send the samples to the customer, except for styles with self approval.
  • Provide the information on the samples sent.
  • If the sample is rejected, the process returns to the beginning.

R2 — Knitwear Specific

  • Check the sample weight against previous samples or the approved sample, without exception, and record the weight on the sample card.
  • Write the fabric batch number on all buying and development sample tags.
  • Check the fabric stretch during sample checks for all stretch fabrics, not only those containing elastane. Compare the current fit sample with the original buying sample or the approved base fabric when available.
  • Mark the fabric direction and surface clearly on the product file.
  • Add a STICKER to the sample tag when the fabric is cut in an alternative direction or used in reverse.
  • Cross-check the sample fabric with the buying sample, and escalate any concerns to GT and the customer.

R3 — MMS Standards

  • Ask vendors to manufacture all products in compliance with the minimum make standards (MMS).
  • Follow the production criteria defined by product group in the linked MMS charts.
  • Add these charts to the workbook during production approval, and make the factory follow them strictly.
  • Remove the items that are not related to the product from the chart.

R4 — Minimum Stretch Check

  • Check the minimum stretch areas — neck, waist, hem and sleeve opening — against the minimum stretch measurements that keep the garment wearable.

R5 — Workbook Creation

  • The file in which each product's measurements and critical comments are recorded is referred to as a workbook.
  • Pay attention to the selection of correct POMs from the customers' standard charts.
  • Fit and measure the sample at the SpringNE office before it is sent to the customer.
  • Add the measurement results and photos to the workbook. The customer then adds their own fit photos and comments to the workbook.
  • Include all product-related details in the workbook.
  • Record any changes made and, where necessary, support important issues with photos.

R6 — Sample Rejections

  • For samples (Fit/Red Seal, Size Set/Green Seal, PP, Production/Gold), a second rejection by SpringNE is not allowed after the first rejection.
  • After the first rejection:
    • Communicate all reasons and critical comments to the manufacturer.
    • Inform the Commercial Team.
  • If the second submitted samples are not approved by the GT team:
    • The AM, Commercial Director and TM jointly review both sets of samples.
    • They decide which sample is selected and sent forward.

R7 — Grading Rules

  • Existing factories:
    • Personnel responsible for grading within the factories are assigned.
    • These assigned personnel receive training on grading rules.
    • After training, grading is performed by the factories and approved by SpringNE.
    • The SpringNE approval period must not exceed 3 months.
    • After 3 months, SpringNE no longer provides direct approval for grading.
  • New factories:
    • For newly onboarded manufacturers, grading is performed by SpringNE for the first 3 months.
    • Training is provided during this period.
    • Afterwards, grading is performed by the factory and checked by SpringNE.
    • Full responsibility for grading transfers to the factory within a total period of 6 months.
